Privacy Policy

This policy describes what Minutesmith ("the app") does and does not do with your data. Minutesmith is developed by Rupert Yip ("we", "us"). Contact: rupertyip@gmail.com
Summary
Minutesmith has no servers of its own. Everything the app records, transcribes, and summarizes is processed and stored on your Mac by default. The app never asks you to create an account and does not include any analytics, advertising, or tracking SDKs.
What Minutesmith accesses
- Microphone — to record your voice during a meeting.
- Screen/system audio recording permission — used only to capture the system audio of other apps (e.g. Zoom, Teams, Meet) during a meeting, so the transcript includes what other participants said. Minutesmith does not record or transmit your screen's visual contents — only audio.
Both permissions are requested by macOS directly and can be revoked at any time in System Settings → Privacy & Security.
Your responsibility for recording consent
Many jurisdictions require the consent of one or more parties before a conversation may be lawfully recorded. You are solely responsible for determining what consent or notice obligations apply to each meeting you record, and for obtaining any consent required from participants before or during that meeting. We do not monitor, review, or control your use of Minutesmith and disclaim all responsibility and liability for any recording made in violation of applicable consent or notice requirements. Nothing in this policy constitutes legal advice, and you should consult qualified counsel if you are uncertain about the requirements in your jurisdiction.
What Minutesmith stores, and where
Recordings, transcripts, summaries, titles, notes, and tags for each meeting are saved as local files in the app's own application data folder on your Mac. Nothing is uploaded to a server operated by us, because no such server exists. You can delete this data at any time by deleting meetings from within the app or removing the files directly.
Optional third-party AI processing
By default, transcription and summarization run entirely on-device using local models. If you choose to, you can instead connect Minutesmith to:
- OpenAI (for transcription and/or summarization)
- Anthropic (for summarization)
- A self-hosted Ollama server you control
If you turn one of these on, you supply your own API key inside the app, and the relevant audio or transcript text is sent directly from your Mac to that provider using your key — not through any server of ours. That provider's own privacy policy and terms govern how they handle the data you send them. We recommend reviewing those policies if you enable this feature. This is entirely optional and off by default.
What we don't do
- We don't collect analytics, usage statistics, or crash reports.
- We don't use advertising or third-party tracking SDKs.
- We don't require or support user accounts or sign-in.
- We don't sell or share your data, because we never receive it in the first place.
Children's privacy
Minutesmith is a general-purpose productivity tool not directed at children and does not knowingly collect data from children.
Changes to this policy
If this policy changes, an updated version will be published at this same URL with a new "last updated" date.
